Instructions
You’re the start of the pipeline. Nobody else can do their job until you do yours.
Every week
- 2x weeklyClear the yearbook inbox (yearbook@ccusd.org).
- 2x weeklyOne 4th period shoot, logged. (The 4th Period Pass.)
- WeeklyUpdate the calendar for the next 14 days: games, awards, performances, club events, ASB.
- WeeklyPut a name on every event in those 14 days. No name means you decided, on purpose, to skip it.
- MonthlyRun one event, booth, or activity.
- Per check-inReport the sales number.
- AlwaysTrack the gear: who checked it out, when it came back, what broke. The gear cage rules are on the test.
- Per checkpointYour spread, signed and built. Everyone builds spreads.
The Wednesday huddle, every week
- Open the calendar. Read every event in the next 14 days out loud.
- For each one: whose name is on it, and which camera. “Maybe” is not a name.
- No name and nobody can take it? Decide to skip it, on purpose, and write that down.
- Check the shot list from Design’s plans. A spread needs a photo nobody’s scheduled? Add it.
- Check your work: every line in the next 14 days has a name or the word SKIPPED. Nothing blank.
What it should look like
A finished week in Outreach + Photo is three things you can show your chair in ten seconds.
- The next 14 days, every event listed, with a photographer’s name and a camera on each one.
- A skip is written down, with the reason. Skipping on purpose is a decision. Blank is a missing page in February.
- The inbox at zero, cleared twice this week. A parent asking about senior ads got an answer the same day.
- The gear log current: who has what, when it came back, what broke and who was told.

The page exists. Or, if nobody went, it doesn’t. There’s no reshoot.

Lesson
What you own
The yearbook email inbox and the calendar. Every game and award. ASB, the front office, and the clubs. Selling the book, running events and booths, handing out the books in June. And the cameras: you schedule the shoots, set up the booths, and take the photos.
Design can’t build a spread out of photos nobody took.A shoot without a name on it becomes a missing page in February.
Sales
Every book sold helps pay to print the pages. The number is public and it really matters. Senior ads take up a big part of the book and parents buy them for their kids. Ask early. And when a business buys an ad, ask for the logo as a vector file (AI, EPS, SVG, PDF) right then. About half say yes right away.
The inbox
Twice a week, to zero. A parent who emails about an ad and hears nothing for nine days doesn’t buy the ad. Short answers are fine. Fast is what counts.
- A name and a camera on every event, 14 days out
- A skip written down with a reason
- The inbox at zero twice a week
- The gear log honest, including what broke
- “Someone will probably go”
- A calendar that stops at Friday
- Gear that left the cabinet with no name on it
What’s on the calendar in the next seven days, and whose name is on it? An event nobody covers is gone forever. There’s no reshoot.
Example
A Wednesday huddle, written up in #outreach afterward.
HUDDLE WK 9 · next 14 days Tue 10/13 JV volleyball vs Beverly Gianna C A7 IV Wed 10/14 Club fair (brunch) Mateo R + Priya S A6700 x2 Fri 10/16 Football, home Jordan L A7 IV, backup card ON Sat 10/17 XC invitational SKIPPED: nobody has a ride. Told Design. Tue 10/20 Chem lab, 4th period Priya S A6700 (Design asked for this one) Thu 10/22 Fall play dress rehearsal Mateo R A7 III, stage recipe Inbox: 0. Sales: 212 books, 38 senior ads.
Fourteen days, not seven. A name and a camera on every line. The skip is a decision, written down, and Design heard about it so nobody plans a page around photos that won’t exist. The chem lab is there because a Design plan asked for it. Sales number reported without being asked.
How to turn it in
Your work is turned in through your daily report in #outreach: what you did, and what’s slowing you down. Shoots get logged with the folder name. The Wednesday huddle gets written up.
- Daily: 30 seconds in #outreach, with a screenshot. No screenshot, no credit.
- Wednesday: the 14-day list, names on every line.
- Per shoot: the folder name and Drive link, per the Pipeline.
- Monthly: sales number at the check-in.
